A Day In The Life Of A Virtual Assistant

Ask and you shall receive! I’ve had so many people ask me what my workdays look like, and now I’ve delivered! I’m finally giving you a behind-the-scenes look at a day in the life of a virtual assistant. Let’s dive in!

6:30AM - Day starts

Having written out my to-do list the night before, I knew that the day would be full of client calls and meetings. I woke up nice and early to get a good start to my day.

7:00AM - Workout

Working out isn’t something that I do everyday. Until recently, I wasn’t working out at all! That’s why I need an accountability partner like Christi Garand to hop on Zoom with me every morning to keep me motivated! My mind feels so refreshed after every workout and I’m ready to tackle the day (even though I can barely put on pants afterward).

8:00AM - Morning routine

Following a killer workout, I made myself a smoothie for breakfast. Then, I took a shower and got dressed. Because I have so many virtual meetings (and this day was no different), I like to put on makeup each day. Nothing special, just color-correcting tinted moisturizer, blush, mascara, eye shadow, and a fun lip color. 

9:00AM - Time to work!

Now that I’m ready to go, it’s time to get down to business! *But first, COFFEE!* 

On this particular day, I had back-to-back morning meetings. After that, I posted an IGTV video to my Coffee with Kristi & VA for a day pages. 

Then, I sent some video edits to my editor, Courtney, using a nifty app called Frame.io. With this program, I’m able to play the video and make comments at specific parts, and it keeps track of the time stamp automatically. It’s a really quick and efficient way for teams to edit videos! 

Once I answered a few emails, I focused on one of my project-based Dubsado clients. This client is a wedding photographer and wanted my assistance with creating an unforgettable client experience (not to brag, but this is pretty much my speciality). She had provided me with thoughts on her desired process, so I needed to go through the document and add my comments and suggestions. The next step will be to create an organized, automated workflow that will save her time!

12:00PM - Lunch

No explanation needed here...a girl’s gotta eat!

1:00PM - Work, work, work

The afternoon was also packed with calls; two of them being quick calls with VA clients, one was a podcast meeting, and the final call was a Dubsado crash course with another VA client (which is the final step in my Dubsado set-up service).

When I wasn’t on a call, I was answering emails and completing other time-sensitive tasks. Of course, I also found time to listen to music and dance with my cats to help clear my head and stay fresh. 

5:00PM - Work wrap-up

By the end of the day, I’m able to look at my planner and see what tasks still need to be completed. Due to having so many calls and meetings, I still had three items that weren’t checked off my list. 

Sometimes, I like to come back after dinner and work on my porch for an hour or two, but in this case, I decided to push these tasks until the next day. That’s real life, people! Sometimes things don’t always get done, and that’s okay! 

6:00PM - Dinner

Again, this girl’s gotta eat! I might be 110 pounds soaking wet, but I’m not one to skip a meal (even if there’s still work to be done)!

The rest of the evening was spent focusing on self-care, reading, and cuddling with my cats. My life is SUPER glamorous, I know!

So there ya have it! My day as a virtual assistant! No two days are the same, but I’ve found a pretty consistent flow that works for me. When my head hits the pillow at night, I am so happy and fulfilled with what I do.
